Job Overview:

We are looking to hire a Full Time(40 hour weeks), Seasonal position that will start in January and end after April 15th(there is always a possibility that a permanent position becomes available at the end of tax season). Our hours are Monday, Tuesday, Thursday, Friday from 9am to 6pm. Wednesday/Saturday are 8am to 5pm. We also may have openings for a part-time position (24-32 hours), please specify in your email whether you are interested in FT or PT.

The Front Office Administrator plays a key role in maintaining a smooth, professional, and organized front office environment. You’ll manage day-to-day administrative operations, assist clients both in person and over the phone, and support our accountants with scheduling, document handling, and basic bookkeeping tasks. This position requires strong organizational and communication skills, attention to detail, and a friendly, client-focused demeanor.

Key Responsibilities:

Greet clients warmly and ensure an excellent first impression for the firm.

Manage multi-line phone system, route calls, and take detailed messages.

Schedule client appointments and maintain calendars for accounting staff.

Handle data entry, document scanning, and electronic filing with accuracy.

Receive and organize tax documents, ensuring they are routed to the proper team members.

Assist with light bookkeeping or QuickBooks data entry as needed.

Maintain office inventory, order supplies, and ensure the office remains tidy and professional.

Provide general administrative support to management and staff as needed.

Qualifications:

Prior administrative or front office experience required (professional office setting preferred).

Excellent communication and interpersonal skills—professional, courteous, and client-focused.

Strong computer proficiency, including Microsoft Office (Word, Excel, Outlook).

Familiarity with QuickBooks or Drake Tax software is preferred (training provided if needed).

Highly organized with strong attention to detail and accuracy.

Ability to multitask in a fast-paced environment, especially during tax season.
