Job Summary

We are seeking a detail-oriented and organized Medical Administrative Office Support Professional to join our dedicated healthcare team. You will provide essential administrative assistance within a medical office environment, ensuring smooth daily operations and excellent patient service.

The ideal candidate will have proven experience with Electronic Health Records (EHR), medical scheduling, and a strong understanding of healthcare documentation and compliance standards. Bilingual skills and prior clinic experience are highly valued to enhance patient interactions and support our diverse patient population.

This is a Part-Time position: Monday to Wednesday, 9:00 AM – 5:00 PM. No weekend shifts are required.

Key Responsibilities

The core of this role centers on patient care, administrative efficiency, and maintaining accurate health information. Responsibilities include:

Patient Engagement: Greet and welcome patients in person and over the phone, providing compassionate and professional service.

Scheduling: Manage patient scheduling, appointment confirmations, and follow-ups using Electronic Medical Record (EMR) systems.

Financial Administration: Accurately verify insurance coverage and perform necessary insurance verification processes. Assist responsibly with copay and bill collections.

Documentation & Compliance:

Review and ensure the accuracy of medical documentation, care plans, and patient records.

Maintain accurate filing and scanning of medical records and manage health information.

Ensure strict adherence to HIPAA privacy standards during all patient interactions and documentation processes.

Front Desk & Office Support:

Handle all front desk duties, including managing multi-line phone systems and patient check-in/out.

Support office management activities, including data entry and document review.

Utilize computer skills to operate office software for reporting and correspondence.

Qualifications

Experience: Minimum of two (2) years of proven experience in Medical Office Support or Healthcare Administrative roles, preferably in a clinic or office setting.

Technical Proficiency: Familiarity and experience utilizing EMR/EHR systems or similar platforms.

Medical Knowledge: Knowledge of medical terminology, CPT coding, ICD coding (ICD-9/10), and health information management standards.

Financial & Administrative: Experience with insurance verification and authorization processes.

Core Competencies:

Strong organizational skills with exceptional attention to detail in documentation review and data entry.

Excellent verbal, written, and interpersonal communication skills (including professional phone etiquette).

Proficiency in Microsoft Office applications and operating multi-line phone systems.

Ability to maintain confidentiality in strict accordance with HIPAA regulations.

Must be dependable, possess an excellent work ethic, and be skilled at multitasking.

Highly Desired

Bilingual abilities (a significant plus to support diverse patient populations).

Prior experience in a healthcare setting such as a clinic or hospital.
